Prior booking with us, please read Terms and Conditions plus the cancellation policy below.

Cooldrive is a broker rental company offering to clients the best rental deals wherever Cooldrive operates.

Through Cooldrive, we allow customers to shop for services and rentals owned by third parties (professional rental companies) using our features and technologies, and allow individuals to complete transactions that include one or more providers in possibly in a single checkout process. In this capacity CoolDrive are the Merchant of Record. As a broker, we are not the Seller of Record in these third-party seller transactions, but instead earn sales commissions, per-unit activity fees, or some combination thereof.

Booking process

Price and availability are subject to change without notice due to specials, yield management and currency exchange. Your booking will not be processed without an imprint of your credit card and no deposit will be taken until the vehicle is confirmed according to offer you have selected. After this point only, the customer is responsible for cancellation costs by both local rental company and Cooldrive. Once the deposit is processed, Cooldrive will then confirm the booking and will send you the confirmation details. Cooldrive will send the travel documents (vouchers) once the full balance is paid.

Once booking confirmed, Cooldrive will gladly make amendments for free: however, concerning the pick-up date and drop off dates change might affect the price.

When changing the length of the rental or changing insurance package or adding extras: the deposit amount will not be adjusted, it will simply change the balance due.

Cooldrive is dealing with a variety of Campervan and Motorhome rental companies. These brands have their own terms and conditions that you need to understand before proceeding with your booking. We make our best effort to keep this information visible and accurate on our website but we cannot guarantee that the terms and conditions are not modified by the rental companies themselves without notice.

Please make sure of your travel arrangements prior to confirming the booking. As stated above, we are happy to change travel dates subject to availability when required but this may affect the price with a higher daily rate..

Cooldrive is not responsible for any international bank fee your credit card company may charge and for the currency exchange they may apply if you do not pay in your currency.

If you have booked a transfer or if it is included in services, your flight details (or any details to organize it) must be given at least 10 days in advance. In most of cases, you will have anyway to call the rental agency to announce your arrival before going to the meeting point.

As the Merchant of Record, in case of problem with vehicle given, you must send us an email or call us within 48 hours and give us a precise description of troubles and you may join scan or pictures that could help us to solve issue. We've noticed that after 48h the issue process is less efficient. Concerning the return of vehicle you have 2 weeks to warn us about an issue with the rental agency.

The rental fleet may vary without notice and the size of vehicle is given close to common reality and we can't be responsible of size as long as the group booked is the group given.

Please double-check your confirmation and your voucher to be sure that fits your request (mileage, dates, optional extras …). We won't be able to do something after your pick-up.

Most of the time, the safety deposit is required on pick-up day. Please check that the limits on your card can handle the amount requested (whatever the balance on your current account).

Cooldrive is a rental broker not an insurance company: we are not involved in excess that may be taken by rental agency in case of damages. This excess amount is mentioned on offer, confirmation and voucher. You are entitled to an excess refund only if you have selected the excess refund insurance proposed as optional extra in our quotes.

For the vehicle pick-up following documents are mandatory: original driver’s license, valid credit card on the same name with sufficient funds.

Bookings are related exclusively to vehicle categories and not to specific models.

In case of unavailability of models on the website, we give our best efforts to find vehicles with the same capacity and similar services. Always attentive to the evolution of the market and to the progress of the manufacturers, our local partners reserve the right to refresh pictures without notice, the mix of fleet, as well as their rates.

The price of the rental as well as optional services / products is set by the current rates available on our website. The rental price is must be prepaid. Only the category of the vehicle indicated at the time of booking is guaranteed. In the case where there are several different models within the same category, the renter may not under any circumstances require one vehicle over another, the rental price being the same for all vehicles in the same category. In case of force majeure, it may happen that the local partner reserves the right to deliver another vehicle from an equivalent category or even superior category to meet the needs of the renter (number of seats as indicated in the registration certificate and number of beddings). If the vehicle provided is from a superior category, the rate difference between the two rentals is offered to the renter.

Cancellation and Refund Policy

Please note: cancellations and amendments must be made strictly via email at contact@cooldrive-rental.com

Our cancellation and refund conditions are specific to each offer and are adapted to the respective cancellation and refund conditions of our suppliers. This information is easily accessible in your customer area for each offer ou reservation, in each detailed offer, booking confirmation and voucher (PDF documents). In addition, CoolDrive covers IT, administration and accounting costs, as well as credit card fees, up to a maximum of 15% of the rental amount.

As the Merchant of Record, we are responsible for the service in case of cancellation. Cancellations must be made strictly via email (contact@cooldrive-rental.com).

Date of receipt of your cancellation request by email will serve as a reference for the calculation of the refund. In most of the case, the cancellation policy is strict, and we won't be able to refund cancelation made less than 30 days before pick-up. In case of full or partial refund, it will be made within 30 days of your cancellation request.

Purchase a travel insurance or check if your credit card covers you for that matter.

Anyway, we recommended to purchase a Travel Insurance to protect your party during, and prior journey. Some Travel insurances cover you in the event of needing to cancel your bookings in case of illness and some other good reasons.

Changes

We reserve the right, at our sole discretion, to modify or replace these Terms at any time. If a revision is material we will try to provide at least 30 days notice prior to any new terms taking effect.

It is your sole responsibility to periodically check these Terms for any changes. If you do not agree with any of the changes to these Terms, it is your sole responsibility to stop using the Service. Your continued use of the Service will be deemed as your acceptance thereof.
